Finance & Accounts

The number a hospital finance head is judged on is the receivable, and the number he can least easily defend is the one he compiled by hand. Between the clinical record and the trial balance sit four exports, two spreadsheets and a reconciliation that nobody enjoys.

A hospital’s books are downstream of its record. Everything that goes wrong in them started as something that failed to reach it.

Impact and action

Numbers compiled rather than read.

  • Revenue is assembled from exports out of billing, pharmacy and the scheme desk, each cut on a different day, and the three disagree.Falcon reads from every tool without owning or changing any of it, and shows exactly where each number came from. One figure, one lineage, one date.Falcon
  • A figure on a management pack is out of date and nothing on the page says so, so a decision is taken against last week.Falcon flags a number on screen as stale when the data behind it has moved on.Falcon

Receivables that age quietly.

  • Cash, corporate credit, several administrators and two government schemes each age at a different rate, and the ageing lives in whichever desk owns that payer.Payer splits, ageing and settlement are one live view on the governed data, built from the same ledger the bills came from.VaultFalcon
  • A deduction pattern repeats for months because nobody groups deductions by reason.Deductions are states of the claim rather than exceptions to it, so the reasons aggregate and the same failure can be stopped.VaultFalcon

The costs nobody instruments.

  • Materials are roughly a third of hospital spend and the least measured third of it, and consultant revenue-share payouts are computed off the finalised bill on a spreadsheet.Purchase and consumption feed the same ledger the revenue does, and the payout view is read from the finalised bill rather than from an export of it.VaultFalcon
  • Tax on a hospital bill depends on room type, rate band and dispensing context, so a manual month-end adjustment is normal.Tax is applied per line at the moment the charge is created, and the export to accounting carries it.Vault

The published record

Three numbers a hospital finance head already knows.

Households pay 39.4 percent of India's total health expenditure directly, down from 64.2 percent a decade earlier. Source 24 A hospital therefore runs a retail counter and a credit book at once, and its cash position and its receivable position are two different problems in the same building.

The scheme receivable is the slow one.

A 2025 study of the national and state assurance schemes in one Indian state found settlement running from three months to a year against a thirty day guideline, with individual hospitals carrying two to three crore rupees pending. Source 11

And accreditation is priced into the tariff.

An empanelled hospital is paid 10 percent above the base package rate while it holds entry level accreditation and 15 percent while it holds full accreditation. Source 23 The quality cell is a budget holder rather than a cost centre the moment that is on the page.

The tools finance actually reads.

Finance owns none of the data below and reads all of it. Each row is what the tool does for this office, with the example a finance head would recognise.

Tools used by finance and accounts, what each does here, and an example.
ToolWhat it does hereExample
VaultHolds the revenue-cycle ledger: invoicing, splits, settlements, taxes, and a tamper-proof trail per transaction.Every reversal carries an author, a timestamp and a reason.
FalconReads from every tool without owning or changing any of it, and shows the lineage of each figure.Revenue by payer, by unit and by department, traceable back to the orders behind it.
VigilTurns the hospital’s own activity into standing evidence for an assessment. The accreditation file that carries the package-rate uplift stays assembled.
CadenceRuns finance’s own repeatable procedures as tracked processes.A month-end close runs as steps with owners and due times rather than a chase.
DurinBuilds the view a vendor never shipped, with no code and no ticket.A unit-level contribution board built by the finance team, on the same permissions as everything else.
WestronManages the connections to outside systems and keeps a forensic trail of every exchange. The accounting package receives a tax-correct export over a governed connection.

Governance, security and exit

The questions a finance head asks before the demonstration.

A hospital board that has watched a peer lose ten days to a ransomware incident asks about security before it asks about features, and the data protection rules put breach duties on the hospital with a dated clock behind them. The hospital owns those obligations. What software owes it is a straight answer about mechanism.

Authorization is checked on every read and every write.

Cirith decides per action whether a specific person may take it, with a patient lens at the database read path. An administrator can look up everything one person can reach and simulate a change before making it. There is an emergency path, and every use of it is logged.

The audit entry is written with the change.

Vault keeps a tamper-proof financial trail. Atlas keeps the consent and access history. Westron keeps a forensic trail of every exchange with an outside system. None of the three is a job that runs later and could be missed.

Exit is a term, and it is answerable now.

Export speaks HL7 v2, FHIR R4 and DICOM, and the ledger exports in forms an accounting package reads. Where Pensieve runs is a deployment decision the hospital makes, and the deployment page states the models plainly rather than in a sales conversation.

One group, several units.

A chain’s real problem is that each acquired unit runs different software, so the group cannot compare units or move a patient between them. One patient index, one tariff master and one consolidated view across sites is the shape that answers it.

Powerful. Responsible. Pensieve.
