Biomedical Engineering

Biomedical engineering is judged on a list it usually keeps in a spreadsheet. Every question an assessor, an insurer or a finance director asks about equipment begins with that list, and the list is out of date the day after it is made.

Workshop, ward rounds, breakdown calls, calibrationEvery critical machine in the buildingThe register is the department

A department whose product is a list.

Ventilators, monitors, autoclaves, analysers, imaging equipment and infusion pumps are all somebody's clinical dependency and all one department's responsibility.

The work itself is well understood. Preventive maintenance, calibration and breakdown repair are what these engineers are good at. The difficulty is that none of it is written where the rest of the hospital can see it, so the theatre finds out that a machine is down when it opens the door, and the assessor finds out that the register is stale when they ask for one machine.

The department is asked to prove upkeep for equipment nobody has a current list of.

Impact and action

The register lives in a spreadsheet.

  • Equipment is added when it is bought, moved without being updated, and written off long after it left the floor. The list and the building disagree.Nexus holds the hospital's physical resources as a digital twin of the hospital, including what is in use right now, so the machine's location and state are part of the same structure the wards and rosters are.
  • Warranty, service contract and expected life are held in a procurement file that maintenance never opens. Those are properties of the asset, so the engineer scheduling a repair and the finance director reviewing a contract are reading one record.Falcon

Maintenance runs on memory.

  • Preventive maintenance and calibration are due when somebody remembers, and an overdue item is discovered during an inspection.Quest runs preventive maintenance and calibration as schedules with a due time and an owner, and Sentinel raises an overdue item as an owned alert.QuestSentinel
  • A breakdown is reported by telephone, so nothing has a queue, a priority or a response time anybody can measure.Cadence runs the breakdown as a ticket with a visible state, and Falcon reports response and repair time by department and by machine.CadenceFalcon

Downtime is argued rather than evidenced.

  • A theatre list is cancelled because a machine was down, and the reason is recorded nowhere the hospital can count.Downtime is a state of the asset with a start, an end and a cause, so the cost of an unreliable machine becomes visible before the replacement decision has to be argued.Falcon
  • Facility management evidence is assembled from three folders in the fortnight before an assessment.Vigil reads the department's own maintenance, calibration and incident records as evidence, kept live against the standard.Vigil

The tools this department lives in.

Read top to bottom. Each tag is a tool inside Pensieve, and the line beside it is what that tool does in biomedical engineering specifically.

Tools used in biomedical engineering and what each one does there
ToolWhat it does in this department
QuestPreventive maintenance, calibration and periodic testing as schedules with a due time and a named owner.
CadenceBreakdown tickets and installation or commissioning runs as tracked workflows with an overdue flag.
VigilThe facility and equipment evidence file, the risk register, incidents, and staff competency records.
GlyphService reports, calibration certificates and acceptance checklists as locked, versioned forms.
SentinelOverdue maintenance, repeated failure on one asset and unacknowledged breakdown calls as owned alerts.
WestronThe connections to equipment that reports its own status, and the bridge configuration that carries them.
FalconDowntime by asset and department, response and repair time, contract spend, and failure rate by model.
RavenNotifying the ward, the theatre or the vendor on an audited channel with a delivery log.

The boundary

What Pensieve does about stock, stated plainly.

Spares, consumables and store movements belong in a stock ledger, and this is the boundary the platform holds to.

Pensieve integrates with the inventory system a hospital already runs. Where there is none, the app is built in Durin, either by hospital staff with no code and no vendor ticket, or by a Pensieve forward-deployed engineer who builds it for the hospital and hands it over. Anything built that way sits on the same permissions and the same audit trail as the rest of the platform.

What Pensieve owns here is the asset itself: where it is, whether it is in use, what is due on it, what has failed on it, and what that has cost. That is the register, and it belongs beside the wards and the rosters rather than in a file of its own.

The departments that call at night.

Intensive care

A ventilator out of calibration is a clinical risk and an accreditation finding at once. Maintenance runs against the asset the unit is using, and the unit can see when it is due.

ICU and critical care

Sterile services

An autoclave is critical equipment with a validation schedule. Both departments should be reading one plan for it rather than two.

CSSD

Imaging

Radiation equipment carries statutory service and monitoring records per machine, and those records are the same asset record maintenance works from.

Radiology and imaging

The quality office

Equipment, downtime and corrective action are three chapters of the accreditation file, and all three are byproducts of the department's own work.
